Issue 2010/04, 23 July 2010 - Ordering of Replacement Vehicles
Agency Fleet Managers
The purpose of this Advice is to inform agencies of the benefits associated with the timely placement of vehicle orders and ensuring that the preferred delivery date for replacement vehicles is well in advance of the lease expiration of the current vehicle. The successful management of replacement vehicle deliveries depends on understanding the process and observing a few key tips which can assist in reducing your fleet costs.
First and foremost, the Fleet Monitoring Body (FMB) strongly encourages agency fleet managers to be aware of vehicle lease end dates and to schedule the delivery of replacement vehicles a minimum of 14 calendar days (preferably 21days) in advance of the lease expiration date of the current vehicle. This provides drivers and fleet managers with some flexibility in managing any unforeseen delays in the delivery of a replacement vehicle. It also assists in ensuring existing vehicles are returned prior to the lease end date and avoids the vehicle having to be re-registered at an additional cost to the agency.

Under the terms of the Fleet Management Agreement (FMA), end of lease vehicles can be returned without penalty or further lease payments, up to 30 days in advance of the scheduled lease end date. Agencies will receive a pro-rata refund for the unused portion of the lease for the month in which the vehicle is returned.
Take advantage of reports available from LeasePlan’s online tool, Fleet Reporting [
] in assessing lease end dates and projecting vehicle replacement schedules. LeasePlan is always available to provide guidance on the use of Fleet Reporting. Furthermore, LeasePlan sends out the first of its re‑order reminders eight months before the lease end date. Please let LeasePlan know if you are not receiving these advices or updates.
Please consider the condition of the vehicle which is being returned. If necessary, lodge an insurance claim for any damage that may be assessed as Unfair Wear and Tear prior to the vehicle’s return.
